Governing Law

This policy is governed by Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). By using this website, you acknowledge the practices described below.

What We Collect

We collect personal information only when you choose to provide it through the forms on this website:

  • Contact form: your name, email address, subject, and message.
  • Hike registration: your email address to reserve a spot.
  • Liability waiver: your name, email, phone number, emergency contact details (name, relationship, phone), digital signature, and the date signed.

Why We Collect It

We use this information solely to operate the St. John's Hike Club:

  • To respond to your messages and inquiries.
  • To manage hike registrations and attendance.
  • To keep your contact and emergency information on hand for safety and legal purposes during hikes.

We never sell, rent, or trade your personal information. We do not send marketing emails or show you advertising.

How Long We Keep It

  • Contact form messages: retained for 12 months, then deleted.
  • Hike registrations: retained for 12 months after the relevant hike, then deleted.
  • Liability waivers: retained for 7 years from the date of signing, as required for legal and liability purposes, then securely deleted.

How We Store & Protect It

Your data is stored securely and is only accessible to the club's authorised administrators. All form submissions are transmitted over encrypted connections.

In the event of a data breach that poses a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as required by PIPEDA.

Analytics

We use OneDollarStats to track page views. It collects only aggregated, non-identifiable data, such as pages visited, session length, device type, and country, and does not collect any personally identifiable information. No tracking cookies are used for this purpose.

Third Parties

We rely on a small number of services to keep the site running:

  • Cloudflare: hosts the website, database, and processes security checks. Cloudflare may set a strictly necessary security cookie to protect the site from bots.

These providers have their own privacy policies, which we encourage you to review.

Minors

Participants under 18 years of age must have a parent or guardian complete the liability waiver on their behalf. We do not knowingly collect personal information from minors without parental consent.

Your Rights

Under PIPEDA, you have the right to access, correct, or request deletion of your personal information at any time. We will respond to all requests within 30 days.
